Data controller

UK Road Races and Lancaster Race Series act as joint data controllers for personal data displayed on RaceRanks (nwraceranks.ukroadraces.co.uk). Contact: steve@runpreston.com.

Lawful basis for processing

Runners provide their details (including date of birth) directly, themselves, at the point of race entry — typically via a third-party booking platform such as Bookitzone or LetsDoThis — specifically so they can be placed in the correct age category. This is standard, industry-wide practice (the same approach used by other race ranking sites), and publishing results on that basis is a long-established part of the sport. We rely on legitimate interest as the lawful basis for processing and displaying this data: doing so provides genuine value to runners (tracking their own progress and history) and to the wider running community, consistent with what a runner already understands and expects when entering a timed race. Date of birth itself is processed under the same basis, strictly for internal identity matching, and is never disclosed publicly.

No use for marketing or contact

We do not use runner data to contact anyone or to solicit anything — no marketing emails, no promotional contact, no use for any purpose beyond recording and publishing race results.

Data minimisation

We only hold what's needed to accurately record and present race results: name, date of birth (private), sex, club, and result details. We do not hold contact details, addresses, or payment information for runners — that information, where collected at race entry, is held separately by the relevant race organiser or entry system, not by RaceRanks.

Security

Data is held in a secured database, accessible only to authorised administrators via password-protected login. Date of birth is never exposed through any public-facing page or search function.

Data sharing

We do not sell, rent, or share runner data with third parties. Race data may be sourced from, and results may link back to, our affiliated race organisers' own results pages (e.g. UK Road Races).

Your rights under UK GDPR

You have the right to access, correct, or request erasure of your personal data and to object to its processing. We are open to any reasonable request to have your information removed. To exercise any of these rights, contact steve@runpreston.com. We aim to respond within one month.

Complaints

If you're not satisfied with how we've handled a data protection concern, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
